CONSTITUTION

Article I – Name

The name of this organization shall be _________________________ Hunt Club (hereinafter referred to as “the Club”).

Article II – Purpose

The purposes of this organization are:

  1. To provide members opportunities to engage in ethical and lawful hunting and related outdoor recreation.
  2. To promote hunter education, safety, and responsibility in the field.
  3. To encourage sportsmanship, respect for wildlife, and adherence to all local, state, and federal game laws.
  4. To support wildlife conservation, habitat management, and land stewardship programs.
  5. To build positive relationships between hunters, landowners, and the community.
  6. To develop outdoor skills such as marksmanship, tracking, and fieldcraft.
  7. To manage and maintain club properties and facilities for safe, enjoyable use by members.
  8. To collect and distribute funds necessary to achieve these purposes.

Article III – Membership

Membership in the Club is open to any person aged 18 or older who supports the objectives outlined above, agrees to abide by the Club’s bylaws and code of conduct, and whose application is approved by the Board of Directors.

Membership categories may include:

  • Regular Members (full privileges)
  • Youth Members (under 18, with guardian supervision)
  • Honorary Members (granted for exceptional service or special circumstances)

The membership term and dues shall be defined in the Bylaws.

Article IV – Officers

The elected officers of the Club shall include:

  • President
  • Vice President (Operations)
  • Secretary/Treasurer (Administrative Vice President)
  • Hunt Master

Their duties and election procedures shall be described in the Bylaws. Officers must be members in good standing.

Article V – Board of Directors

The Board of Directors shall consist of the Officers and up to nine additional members elected from the general membership, collectively known as the Steering Committee. The Board shall be the governing body of the Club between general meetings.

Article VI – Amendments

This Constitution may be amended by a two-thirds vote of members present at a regular or special meeting, provided written notice of the proposed amendment is given at least ten (10) days prior to the vote.

Article VII – Dissolution

In the event of dissolution, all Club assets shall be liquidated to settle outstanding debts. Any remaining funds or property shall be donated to a recognized conservation or youth outdoor education organization chosen by the membership.


BYLAWS

Article I – Duties of Officers

1. President: Responsible for overall leadership, presiding at meetings, enforcing the Constitution and Bylaws, appointing committees, and coordinating Club activities.

2. Vice President (Operations): Assists the President and oversees land use, work projects, safety programs, and hunting operations. Acts as President in their absence.

3. Secretary/Treasurer (Administrative Vice President): Maintains Club records, correspondence, and financial accounts. Prepares meeting minutes, handles membership documentation, and presents financial reports.

4. Hunt Master: Coordinates hunting schedules, ensures compliance with safety and game laws, enforces hunting rules, and manages hunt-related records.

5. Board of Directors: Oversees Club affairs, approves expenditures, sets annual budgets, reviews membership applications, and makes recommendations to the general membership.

Article II – Election and Term of Office

  1. Officers and Board members shall be elected annually at the fall meeting and assume duties on the following February 1st.
  2. Officers may serve no more than two consecutive terms in the same position unless waived by the membership.
  3. Vacancies may be filled by majority vote of the Board for the remainder of the term.

Article III – Membership and Dues

  1. Membership Year: April 1 – March 31.
  2. Dues: Set annually by the Board; payable half by March 1 and balance by June 1.
  3. Probation: New members serve a one-year probationary period.
  4. Youth Membership: Youth under 18 may hunt under direct supervision of a member.
  5. Honorary Membership: Granted to long-standing members facing hardship or health limitations.
  6. Refunds: Requests due to relocation, illness, or military deployment reviewed individually by the Board.

Article IV – Guests

  1. Guests must be invited and accompanied by a member in good standing.
  2. Guest fees, if applicable, shall be set annually.
  3. Guests must possess a valid hunting license and sign required waivers.
  4. Members are responsible for the conduct and safety compliance of their guests.
  5. Youth guests under 18 may hunt without fee when accompanied by a member.

Article V – Meetings

  1. Two general membership meetings shall be held annually — one in spring and one in fall.
  2. The Board of Directors shall meet as needed throughout the year.
  3. A quorum for general meetings shall consist of one-third of members in good standing.
  4. Special meetings may be called by the President or by petition of one-third of members.

Article VI – Work Projects

  1. Members are expected to contribute to organized work parties for maintenance, habitat improvement, and land management.
  2. A minimum number of workdays per year shall be established by the Board.
  3. Members failing to meet participation requirements may be subject to an additional fee unless excused for valid reason.

Article VII – Finances

  1. The Club shall maintain a general checking account requiring signatures of two authorized officers.
  2. All expenditures outside the approved budget require prior Board approval.
  3. The fiscal year shall align with the membership year (April 1 – March 31).
  4. Annual financial reports shall be presented at the spring meeting.

Article VIII – Hunting Rules and Safety

  1. All members and guests must observe:
    • Local, state, and federal game laws.
    • Club safety policies and landowner rules.
    • Ethical and sportsmanlike conduct at all times.
  2. The use of alcohol or intoxicating drugs before or during any Club activity that involves firearms, archery equipment, or any other weapon is strictly prohibited.
  3. Members must sign in/out on Club property and record harvests as required.
  4. Only authorized vehicles (ATVs, UTVs, trucks) may be used for hunting-related activity.
  5. Violations of safety or ethical conduct may result in disciplinary action, suspension, or expulsion after Board review.
  6. Youth safety and firearm handling must be supervised by an adult member at all times.

Article IX – Discipline

  1. Any member may be suspended or expelled for conduct detrimental to the Club, violation of game laws, or failure to abide by Club rules.
  2. Charges must be submitted in writing to the Board of Directors, which will conduct an impartial review.
  3. Reinstatement may be granted upon majority vote of the Board.

Article X – Amendments

These Bylaws may be amended by a two-thirds vote of members present at any general or special meeting, provided ten (10) days’ notice has been given.

Article XI – Club Property

All property, equipment, and improvements maintained by the Club shall be used solely for official Club purposes. Unauthorized personal use or removal of Club property is prohibited.

Article XII – Adoption

These Bylaws and Constitution were adopted by vote of the membership on _________________________ and shall remain in effect until amended according to Article X.
