Generic Model Constitution & Bylaws – Hunting Season: 20XX–20XX


Constitution

Article I – Name

The name of this organization shall be ________ Hunt Club (hereinafter “the Club”).

Article II – Purpose

Purposes include ethical hunting, safety, education, sportsmanship, conservation, land stewardship, skills development, property maintenance, and fundraising to support mission.

  1. Ethical, lawful hunting and outdoor recreation.
  2. Hunter education, safety, responsibility.
  3. Sportsmanship and compliance with all game laws.
  4. Conservation, habitat management, land stewardship.
  5. Positive relationships with landowners and community.
  6. Outdoor skills: marksmanship, tracking, fieldcraft.
  7. Maintain club properties and facilities.
  8. Collect/distribute funds to achieve these purposes.

Article III – Membership

Open to persons 18+ who support objectives, agree to bylaws/code of conduct, and are approved by the Board. Categories: Regular (full), Youth (under 18, supervised), Honorary.

Article IV – Officers

Officers: President, Vice President (Operations), Secretary/Treasurer (Administrative VP), Hunt Master. Duties/election in Bylaws; officers must be members in good standing.

Article V – Board of Directors

Board consists of Officers plus up to nine elected members (the Steering Committee). Governing body between general meetings.

Article VI – Amendments

Amend by two-thirds vote at a regular/special meeting with 10 days’ written notice.

Article VII – Dissolution

Upon dissolution, assets liquidated to settle debts; remainder donated to recognized conservation or youth outdoor education organization selected by members.


Bylaws

Article I – Duties of Officers

President: Leadership, presides at meetings, enforces governing documents, appoints committees, coordinates activities.

Vice President (Operations): Assists President; oversees land use, work projects, safety programs, hunting operations; acts as President when absent.

Secretary/Treasurer (Administrative VP): Records, correspondence, finances, minutes, membership documentation, financial reports.

Hunt Master: Hunting schedules, safety/game law compliance, hunting rules enforcement, hunt records.

Board of Directors: Oversees affairs, approves expenditures, sets budgets, reviews membership, recommends actions.

Article II – Election and Term

  1. Elected annually at fall meeting; assume duties on February 1.
  2. No more than two consecutive terms unless waived by membership.
  3. Vacancies filled by Board majority for remainder of term.

Article III – Membership and Dues

  1. Membership Year: April 1 – March 31.
  2. Dues: Set annually; half due by March 1, balance by June 1.
  3. Probation: New members serve one-year probation.
  4. Youth: Under 18 must be supervised by a member.
  5. Honorary: For long-standing members with hardship/health limitations.
  6. Refunds: Case-by-case review for relocation, illness, deployment.

Article IV – Guests

  1. Guests must be invited and accompanied by a member in good standing.
  2. Guest fees set annually.
  3. Guests must have valid hunting license and sign waivers.
  4. Members are responsible for guest conduct and safety compliance.
  5. Youth guests under 18 may hunt without fee when accompanied by a member.

Article V – Meetings

  1. Two general meetings annually—spring and fall.
  2. Board meets as needed.
  3. Quorum: one-third of members in good standing.
  4. Special meetings may be called by President or by petition of one-third of members.

Article VI – Work Projects

  1. Members contribute to work parties for maintenance/habitat/land management.
  2. Minimum annual workdays established by Board.
  3. Failure to meet requirements may incur a fee unless excused.

Article VII – Finances

  1. General checking account requiring two authorized signatures.
  2. Expenditures outside approved budget require prior Board approval.
  3. Fiscal year aligns with membership year (April 1 – March 31).
  4. Annual financial reports presented at spring meeting.

Article VIII – Hunting Rules and Safety

  1. Observe all game laws, Club safety policies, landowner rules; conduct ethically.
  2. No alcohol or intoxicating drugs before/during any activity involving weapons.
  3. Sign in/out on Club property and record harvests as required.
  4. Use only authorized vehicles for hunting-related activity.
  5. Safety/ethics violations may result in discipline, suspension, or expulsion after Board review.
  6. Youth safety and firearm handling must be supervised by an adult member at all times.

Article IX – Discipline

  1. Members may be suspended/expelled for detrimental conduct, game law violations, or rule noncompliance.
  2. Charges submitted in writing; Board conducts impartial review.
  3. Reinstatement by Board majority.

Article X – Amendments

Amended by two-thirds vote with 10 days’ notice.

Article XI – Club Property

Club property used solely for official purposes; unauthorized personal use/removal prohibited.

Article XII – Adoption

Adopted by membership on ________; remains in effect until amended per Article X.

Membership Contract – Hunting Season: 20XX–20XX


________ Hunt Club Membership Contract for the 20XX–20XX Hunting Season.

This Indenture, made the ______ day of ________, 20XX, by and between ________ Hunt Club (“Club”) and __________________ (“Member”). For consideration of the covenants herein, the parties agree:

  1. License: The Club grants Member a revocable license to hunt on lands in the State of ______ (“Lands”) for hunting purposes only.
  2. Term: License is for the 20XX–20XX season and may be renewed at Club discretion. Dues due March 1, 20XX, unless terminated for violations herein.
  3. Consideration: Membership fee is $____.__, entitling Member to hunt in season on the Lands.
  4. Trees & Stands: Except underbrush, no cutting/removal of trees; no nails/spikes/metal in trees. Tree stands inspected annually; safety harness required.
  5. Care & Safety: Member shall use due care to prevent injury/property damage; do not shoot into adjacent property without hunting rights.
  6. Family & Guests; Assumption of Risk: Fee includes Member, spouse, and children up to 18 or still in school at signing. Minors must be supervised by a parent. Member assumes all risks and holds Club harmless for any injury or property damage to Member, family, or guests; Member reimburses Club for damages caused by Member or guests and pays any fees/fines/expenses for abuse, mishap, or illegal action, including Bylaws violations.
  7. Litter: Member cleans all litter they/family/guests create; Club cleanup costs may be charged to Member. Report littering promptly.
  8. Fences & Access: Member repairs damage they cause to fences; Member may hold a key to locked gates for paid hunting grounds.
  9. Camps & Compliance: No campsite/structure construction. Comply with all applicable laws/rules/regulations. Club may deny access for drunkenness, gun carelessness, game law violations, trespass, acts straining landowner relations, or disrespectful conduct.
  10. Assignment: Binding upon heirs/legal representatives; Member may not assign without Club’s written consent.
  11. Attorney Fees: Prevailing party after default may collect costs, including reasonable attorney’s fees.
  12. Recording: This revocable hunting agreement shall not be recorded without Club’s written consent.
  13. Liability: No Member/guest/family shall hold the ________ Hunt Club or its President liable for damages including misconduct, theft, injury, accidents. Members enter, hunt, feed, and scout at their own risk.
  14. Refunds: Contract is binding for term and non-refundable.
  15. Severability: If any part is void/invalid, remainder is true and binding.

Rules & Regulations – Hunting Season: 20XX–20XX


General conduct

  • Ethical, sportsmanlike behavior at all times.
  • No alcohol or drugs before/during hunting activities.
  • Respect members, landowners, and community.

Property rules

  • No cutting/removal of trees except approved underbrush.
  • Clean up all litter; report violations immediately.
  • Authorized vehicles only (ATVs, UTVs, trucks) for hunting-related use.

Guest rules

  • Guests must be accompanied by a member in good standing.
  • Guest fees (if any) set annually.
  • Guests must sign waivers and possess valid hunting licenses.

Hunting rules

  • Comply with local, state, and federal game laws.
  • Sign in/out on Club property and record harvests as required.
  • Youth hunters must be supervised by an adult member at all times.

Disciplinary action

Violations may result in suspension or expulsion after Board review. Reinstatement may be granted by Board majority.
